What this sheet is for

When one primary caregiver cannot be present around the clock, care falls apart without a clear schedule. This sheet lets a coordinator post the week's open shifts and invite family members, neighbours or volunteer helpers to claim a slot, so every morning, midday and evening block has a named person attached to it before the week begins.

How to use it

Write the week's start date in the 'Week of' field at the top right. Each row under 'Shift / Task' shows a specific day-and-time block. The person taking that shift writes their full name under 'Volunteer name' and their best contact method — phone number, email or a note saying 'text only' — under 'Phone / email / text'. Once all slots are filled, the coordinator signs the bottom line. Post a copy where the care recipient lives and share a photo with everyone on the sheet.

What is printed on the page

“Daily Caregiver Shift Cover” is laid out as slots: twenty rows, each pre-labelled with a time slot or an item to bring, and a name and contact cell beside it; a fill-in field at the top right and an organiser line at the foot. Under the title it reads “Sign up to cover a care shift for one day — time, name and contact in one place.”, and the line at the foot of the page says “If you cannot make your shift, contact the person above or below you on this sheet before notifying the coordinator.”.

The slot labels slot holds 20 entries — “Mon morning (7–10 am)”, “Mon midday (12–2 pm)”, “Mon evening (5–8 pm)”, “Mon overnight (10 pm–6 am)” and “Tue morning (7–10 am)” and 15 more — so the sheet is already filled in for caregiving rather than left as blank rows to label yourself.

The remaining labels on “Daily Caregiver Shift Cover”, the caregiving sheet, are “Week of” for the event label, “One person per slot. Write your preferred contact method (call, text or email) in the last column.” for the note line, “Shift / Task” for the slot heading, “Volunteer name” for the name heading, “Phone / email / text” for the contact heading and “Coordinator name and contact” for the organizer label.

Two things about this particular slots are settings rather than text, and “Daily Caregiver Shift Cover” has them set like this. Numbered is off: number the rows. Organizer line is on: include the organiser contact line at the foot.

Tips

Leave the overnight rows blank until daytime slots are filled; overnight cover is harder to find and may need a separate conversation.

Ask volunteers to note any personal limits in pencil beside their name, such as 'no lifting' or 'transport only', so tasks can be matched to ability.

Review the filled sheet on Sunday and telephone anyone whose contact cell is empty before the week starts to confirm they are still available.
