Out-of-Pocket Care Expenses

What this sheet is for

When care costs are spread across multiple family members, insurance plans, and government schemes, it is easy to lose track of who paid what and whether any of it is recoverable. This sheet creates a clear quarterly record of every out-of-pocket expense alongside any reimbursements received, so the running shortfall is always visible at a glance. It is designed for the family carer who needs defensible figures at tax time or for a family cost-sharing conversation.

How to use it

Write the quarter and year at the top right, then enter the funds your household has set aside for care costs on the 'Funds available this quarter' line. For each expense — a co-pay, a hired aide's session, incontinence supplies, transport to a specialist — fill in the date, a brief description under 'Paid to / Purpose', and the amount under 'Spent (out)'. When a reimbursement arrives from an insurer, government benefit, or another family member, log it under 'Reimbursed (in)'. Update 'Running net' after every row so the true out-of-pocket figure stays current. Use the goal box to record the maximum your household agreed to absorb this quarter.

What is printed on the page

“Out-of-Pocket Care Expenses” is laid out as running ledger: an opening-balance line, a 24-row ledger with date, description, in, out and running balance columns, and a goal box at the foot. Under the title it reads “Track unreimbursed caregiving costs for tax records or family cost-sharing”, and the line at the foot of the page says “Keep receipts clipped to this sheet. Many unreimbursed care costs qualify as medical deductions — verify with a tax adviser.”.

The column headings slot holds three entries — “Paid to / Purpose”, “Spent (out)” and “Reimbursed (in)” — so the sheet is already filled in for caregiving rather than left as blank rows to label yourself.

The remaining labels on “Out-of-Pocket Care Expenses”, the caregiving sheet, are “Quarter / Year” for the period label, “Funds available this quarter” for the opening label, “Running net” for the balance heading and “Max out-of-pocket target this quarter” for the goal prompt.

Two things about this particular running ledger are settings rather than text, and “Out-of-Pocket Care Expenses” has them set like this. Goal box is on: include the goal box at the foot. Weekly dividers is on (the opposite of the layout's default): draw a heavier rule every six rows.

Tips

Note the care recipient's name and relationship in the description column — required detail if you claim a dependent care tax deduction.

Log mileage costs for medical transport: multiply kilometres or miles driven by the standard rate and enter the total as an expense.

When a sibling reimburses you, record their name in the description so the ledger doubles as a family cost-sharing record.
