What this sheet is for

Keeping an accurate record of parent contact protects you professionally, supports students, and ensures nothing slips through during a busy school day. This sheet is for the teacher who finishes the afternoon realising they spoke to four parents, replied to several emails, and now cannot remember exactly what was said or agreed. One sheet per day keeps the record clear and ready if a concern escalates.

How to use it

Work through the sheet chronologically. In Before School, note any emails you read or voicemails waiting when you arrive. During School captures the spontaneous hallway conversation, the note sent home via a student, and the call you squeezed in during prep. After School is for deliberate outreach — calls home, formal emails, behaviour reports. At the end of the day, tick each item in the End-of-Day Checklist to confirm nothing has been left open. The reflection prompt guides you to identify the one contact that needs action tomorrow.

What is printed on the page

Tips

Write the parent's name and the student's name separately — they are not always the same, especially in secondary.

Note the method of contact alongside the message: a verbal chat carries different weight than a signed letter home.

If a concern was raised, record the exact words used, not just your summary, in case the matter is reviewed later.
