What this sheet is for
This sheet is for the specific kind of day when something must ship, be submitted, or be handed off before a fixed cut-off. It is not a general to-do list. It is a structured map of the hours available, designed to be filled in the morning and consulted throughout the day to catch slippage before it becomes a missed deadline.
How to use it
Start by writing the deadline date at the top right, then fill in 'Must ship today' with the single deliverable due, the one blocker most likely to delay it, and the name of whoever needs to confirm receipt. Work through the 'Pre-handoff checklist' to capture every remaining action, ticking each as it is done. Block your hours in 'Today's work schedule' in 30-minute slots, protecting the final hour for review and handoff. Use 'Issues and decisions log' to record anything that changes scope, requires approval, or needs to be flagged after delivery.
What is printed on the page
“Project Deadline Day Planner” is laid out as time-blocked day: hourly schedule column 6am–9pm on the left; top-three priorities, a to-do checklist and a notes box on the right. Under the title it reads “Hour-by-hour planning for days when delivery or handoff is due.”, and the line at the foot of the page says “If a task slips past its block, note the actual time it took — use that data to plan the next deadline day.”.
The priority prompts slot holds three entries — “Deliverable due by end of day”, “Blocker to resolve before noon” and “Person to confirm receipt with” — so the sheet is already filled in for work projects rather than left as blank rows to label yourself.
The remaining labels on the page are “Deadline date” for the date label, “Today's work schedule” for the schedule heading, “Must ship today” for the priorities heading, “Pre-handoff checklist” for the todo heading and “Issues & decisions log” for the notes heading.
Two things about this particular time-blocked day are settings rather than text, and “Project Deadline Day Planner” has them set like this. Half hours is on (the opposite of the layout's default): split each hour into two 30-minute rows. Notes box is on: include the notes box under the checklist.
Tips
Assign each checklist item to a specific 30-minute block in the schedule column so nothing floats without an owner.
Write the hard cut-off time next to your deliverable in 'Must ship today' — not just the date, but the clock time.
Reserve the 4:30–5:00 pm block for a final review pass and do not schedule anything else in that slot.
The other layouts in this set
“Project Deadline Day Planner” is one of three sheets in this set, each a different fixed layout filled for the same topic. “Deep Work Day Planner” uses the three sections layout and “Work Meeting Day Planner” uses the focus page layout. Pick by how you work: the layout decides how much you write and where, not what the sheet is about.
