What this sheet is for
Some days require sustained, uninterrupted thinking — drafting a proposal, writing code, analysing data, or pushing a project meaningfully forward. This planner is for those days. It helps you deliberately ring-fence your best cognitive hours, contain meetings and messages to their own slot, and close the day with a clear record of what moved and what did not.
How to use it
Start by filling in the date, then load your hardest project tasks into Focus Block (Morning) before anything else appears on your radar. Use Meetings & Comms to list every scheduled call or message thread requiring a response, and note any decisions that come out of them. In Wrap-Up & Handoffs, record what you actually completed, anything you need to pass on to a colleague, and the single first task you will start tomorrow. Work through the Daily Work Habits strip at the end of the day, ticking honestly. Answer the reflection prompt in two lines.
What is printed on the page
“Deep Work Day Planner” is laid out as three sections: three stacked, labelled sections of checkbox lines (e.g. morning, midday, evening), a tick-off tracker strip of eight items and a two-line reflection at the foot. Under the title it reads “Plan, protect and review one full day of focused project work.”, and the line at the foot of the page says “If a task took longer than its slot, note why — that estimate becomes useful data for next time.”.
The section headings slot holds three entries — “Focus Block (Morning)”, “Meetings & Comms” and “Wrap-Up & Handoffs” — so the sheet is already filled in for work projects rather than left as blank rows to label yourself.
The section hints slot holds three entries — “Reserve this block for your hardest, most demanding project tasks — no meetings.”, “Log calls, emails, reviews and any decisions made or still pending.” and “Note outputs completed, files sent, blockers raised and tomorrow's first task.” — so the sheet is already filled in for work projects rather than left as blank rows to label yourself.
The tracker items slot holds eight entries — “Phone away”, “Inbox zero”, “1 big task”, “Notes filed” and “Slack muted” and three more — so the sheet is already filled in for work projects rather than left as blank rows to label yourself.
The remaining labels on the page are “Date / Day” for the date label, “Daily Work Habits” for the tracker heading and “What protected your focus today, and what interrupted it?” for the reflection prompt.
Two things about this particular three sections are settings rather than text, and “Deep Work Day Planner” has them set like this. Tracker strip is on: include the eight-item tick-off strip. Reflection lines is on: include the two-line reflection at the foot.
Tips
Write your one non-negotiable project task at the top of Focus Block before you open email or any messaging app.
Batch all replies into the Meetings & Comms section; crossing that boundary mid-morning is the most common focus killer.
The Wrap-Up handoff note is most useful when it names a specific person, file or decision — not just 'follow up'.
The other layouts in this set
“Deep Work Day Planner” is one of three sheets in this set, each a different fixed layout filled for the same topic. “Project Deadline Day Planner” uses the time-blocked day layout and “Work Meeting Day Planner” uses the focus page layout. Pick by how you work: the layout decides how much you write and where, not what the sheet is about.
