Wedding Vendor Contact Tracker
Wedding vendor call day planner for tracking morning, afternoon, and callback tasks across eight key suppliers in one sitting.

Who this sheet is for
This sheet is for a couple or wedding planner dedicating a single day to working through supplier calls, confirmations, and follow-ups. Where the Wedding Day Timeline covers the ceremony itself and the Wedding Task Sprint Day handles mixed to-dos, this format organizes one sitting of back-to-back vendor calls by time of day.
What this sheet is for
Most wedding vendors need chasing, confirming, and re-confirming across several phone calls and emails. This sheet is designed for a single dedicated booking day — the kind you block out a few months before the wedding to work through your supplier list systematically, note what was agreed, and make sure nothing slips between calls.
How to use it
Start with Morning Calls to reach caterers, the venue, and florists while offices are at full staffing. Move to Afternoon Calls for creative suppliers — photographer, band or DJ, officiant, transport and rental companies — using those slots to log quoted figures, deposit deadlines, and key contact names. Use Follow-Ups and Callbacks for anyone unreachable earlier or who needs more time to prepare a revised quote. At the end of the day, check off the Confirmed Today strip for each of the eight core vendors you reached a firm agreement with, then use the reflection lines to record what remains open.
What is printed on the page
“Wedding Vendor Call Day” is laid out as three sections: three stacked, labelled sections of checkbox lines (e.g. morning, midday, evening), a tick-off tracker strip of eight items and a two-line reflection at the foot. Under the title it reads “Track every supplier call, confirmation, and follow-up for one booking day.”, and the line at the foot of the page says “Note the name of every person you spoke to — not just the company — so you can follow up with the same contact.”.
The section headings slot holds three entries — “Morning Calls (9 am – 12 pm)”, “Afternoon Calls (12 pm – 4 pm)” and “Follow-Ups & Callbacks” — so the sheet is already filled in for wedding rather than left as blank rows to label yourself.
The section hints slot holds three entries — “Caterer, venue, florist — call these first while staff are fresh and offices fully open.”, “Photographer, band/DJ, officiant, rental companies, transport — confirm deposits and details.” and “Anyone who didn't answer, needs a revised quote, or asked you to call back after 4 pm.” — so the sheet is already filled in for wedding rather than left as blank rows to label yourself.
The tracker items slot holds eight entries — “Venue”, “Caterer”, “Florist”, “Photographer” and “Videographer” and three more — so the sheet is already filled in for wedding rather than left as blank rows to label yourself.
The remaining labels on “Wedding Vendor Call Day”, the wedding sheet, are “Call date” for the date label, “Confirmed Today” for the tracker heading and “What is still unresolved, and what is the next action needed?” for the reflection prompt.
Two things about this particular three sections are settings rather than text, and “Wedding Vendor Call Day” has them set like this. Tracker strip is on: include the eight-item tick-off strip. Reflection lines is on: include the two-line reflection at the foot.
Tips
Write the contact person's direct name beside each call — wedding companies often have multiple staff handling enquiries.
Note the exact deposit amount and payment deadline in the checkbox line, not just a check, so the line is actionable.
If a vendor asks to call back, write the time they gave you and move it straight to Follow-Ups and Callbacks before ending that call.
The other layouts in this set
“Wedding Vendor Call Day” is one of three sheets in this set, each a different fixed layout filled for the same topic. “Wedding Day Timeline” uses the time-blocked day layout and “Wedding Task Sprint Day” uses the focus page layout. Pick by how you work: the layout decides how much you write and where, not what the sheet is about.
Step by step
- Write the date in the Call date field before you start dialing.
- List your caterer, venue, and florist calls under Morning Calls (9 am – 12 pm), following the section hint to reach staff while offices are fully open.
- Move photographer, band/DJ, officiant, rental companies, and transport to Afternoon Calls (12 pm – 4 pm) and record deposit confirmations as you go.
- Log anyone who did not answer or asked you to call back in the Follow-Ups & Callbacks section.
- Check each box in the Confirmed Today tracker strip — Venue, Caterer, Florist, Photographer, Videographer, Band / DJ, Transport, Officiant — as you reach a confirmation, then fill in the reflection prompt with what is still unresolved and the next action needed.
Example entry
Call date: June 14. Morning Calls: 'Caterer — confirmed tasting date, spoke to Marcus.' Afternoon Calls: 'Photographer — deposit receipt requested by email.' Follow-Ups & Callbacks: 'Florist did not answer; call back after 4 pm.' Confirmed Today: Venue checked. Reflection: 'Florist quote still outstanding — call Friday morning and ask for Diane.'
Questions about this sheet
What paper size does this sheet print on?
The sheet is sized for US Letter (8.5 x 11 inches), which works in any standard home printer without scaling.
Is one sheet enough for a full call day, or should I print more than one?
The tracker strip covers eight vendors, so one sheet handles a typical call day. If you are managing more than eight suppliers, print a second sheet and use the Follow-Ups & Callbacks section on the first to carry over extras.
The section hint mentions calling caterer and venue first — can I rearrange the order?
The section headings are labels for time slots, not a locked sequence; write any vendor name in whichever section matches when you plan to call them.
