Who this sheet is for

This sheet is for a bride or groom who wants one printed page that holds their hour-by-hour schedule alongside final-day tasks and vendor notes. Where other wedding day planner formats on the site focus on vendor calls or a task sprint, this time-blocked format is built for tracking the full day from early morning preparations through the end of the reception.

What this sheet is for

The morning of a wedding moves faster than any planning spreadsheet can prepare you for. This sheet gives you a single printed page to carry, covering every half-hour from 6 am to 9 pm. Use it to anchor yourself — or hand it to a coordinator, a trusted bridesmaid, or a family member acting as point person — so decisions do not fall back on the couple when they should be elsewhere.

How to use it

Start with Must Happen Today: write the three non-negotiable outcomes for the day, including who is responsible for vendor payments and who holds the emergency contact list. Work down the Final-Day Checklist for quick-check tasks such as confirming the florist's arrival, distributing buttonholes, and checking the cake delivery. Block out the Day-of Schedule in 30-minute rows starting from hair and make-up through ceremony, portraits, and reception formalities. Use Vendor Notes and Changes to record any last-minute updates — a delayed car, a substituted song, a seating shift — without losing them.

What is printed on the page

“Wedding Day Timeline” is laid out as time-blocked day: hourly schedule column 6am–9pm on the left; top-three priorities, a to-do checklist and a notes box on the right. Under the title it reads “Hour-by-hour schedule and task log for the bride or groom on the wedding day.”, and the line at the foot of the page says “Give a printed copy of the timeline to your officiant, photographer, and venue coordinator the day before.”.

The priority prompts slot holds three entries — “Confirm vendor arrival times by:”, “Hand off payments/tips to:” and “Emergency contact on-site:” — so the sheet is already filled in for wedding rather than left as blank rows to label yourself.

The remaining labels on “Wedding Day Timeline”, the wedding sheet, are “Wedding Date” for the date label, “Day-of Schedule” for the schedule heading, “Must Happen Today” for the priorities heading, “Final-Day Checklist” for the todo heading and “Vendor Notes & Changes” for the notes heading.

Two things about this particular time-blocked day are settings rather than text, and “Wedding Day Timeline” has them set like this. Half hours is on (the opposite of the layout's default): split each hour into two 30-minute rows. Notes box is on: include the notes box under the checklist.

Tips

Write vendor arrival times in the schedule column in pencil; confirmed times often shift by 15–30 minutes on the day.

Note each vendor's mobile number in Vendor Notes so your point person never has to ask you for it.

Block a 20-minute buffer before the ceremony start time and mark it clearly — it will be used.

The other layouts in this set

“Wedding Day Timeline” is one of three sheets in this set, each a different fixed layout filled for the same topic. “Wedding Vendor Call Day” uses the three sections layout and “Wedding Task Sprint Day” uses the focus page layout. Pick by how you work: the layout decides how much you write and where, not what the sheet is about.

Step by step

  1. Write the 'Wedding Date' at the top, then block out each hour from 6 a.m. to 9 p.m. in the 'Day-of Schedule' column, starting with hair and makeup and ending with the reception close.
  2. Fill in the three 'Must Happen Today' prompts — the time by which you will confirm vendor arrivals, the person receiving payments and tips, and the name and number of your on-site emergency contact.
  3. Work through the 'Final-Day Checklist' to-do section, checking off items as they are completed throughout the morning and afternoon.
  4. Use 'Vendor Notes & Changes' to record any last-minute updates — a photographer running late, a florist substituting a bloom, or a caterer's revised arrival window.
  5. Give a printed copy of the completed timeline to your officiant, photographer, and venue coordinator the day before, as the footer tip instructs, so everyone is working from the same schedule.

Example entry

'Wedding Date: May 3.' Day-of Schedule, 7 a.m.: 'Hair begins — bridal suite, Room 4.' 8 a.m.: 'Makeup artist arrives.' Must Happen Today: 'Confirm vendor arrival times by: 8:30 a.m. | Hand off payments/tips to: Maid of honor, Jamie | Emergency contact on-site: Venue coordinator, 555-0142.' Vendor Notes: 'Florist arriving 10 a.m. instead of 9 — ceremony arch setup moved to 10:30.'

Questions about this sheet

The schedule runs 6 a.m. to 9 p.m. — what if my reception goes later than that?

You can relabel the last one or two hour slots by hand to extend the timeline to 10 p.m. or 11 p.m. before printing, or write later times in the margin.

Should I fill this in alone or with my partner?

Either works — many couples complete the 'Day-of Schedule' column together and then assign the 'Must Happen Today' prompts to whichever person is handling vendor coordination.

Is US Letter the right paper size, or should I use a larger sheet so the hourly slots have more room to write?

US Letter (8.5 x 11 inches) fits the full 6 a.m. to 9 p.m. range; if you need more writing space per hour, printing at Legal size (8.5 x 14 inches) and selecting 'fit to page' will stretch the schedule column.
