Travel Day Logistics Planner
Hour-by-hour logistics planner for travellers managing check-outs, transit connections, and check-ins on a single moving day.

What this sheet is for
Transit days are the ones most likely to go wrong. You are simultaneously checking out of one place, navigating airports or stations, and checking into another, often across time zones and in a language you do not speak fluently. This sheet keeps every time-sensitive task in one place so nothing slips through the gap between the departure hall and the hotel lobby.
How to use it
Work top to bottom before the day begins. Fill in the Departures and Check-Out section with every task that must happen before you physically leave — booking references, bag drop times, room key returns. Use In Transit to list gate numbers, platform changes, connection windows, and any planned meals or currency exchanges during a layover. Fill Arrivals and Check-In with the destination address, local transport details, and any after-hours check-in instructions. Tick off each item in the Before You Leave Today strip while packing. Write your reflection notes once you are settled that evening.
What is printed on the page
“Travel Day Logistics Planner” is laid out as three sections: three stacked, labelled sections of checkbox lines (e.g. morning, midday, evening), a tick-off tracker strip of eight items and a two-line reflection at the foot. Under the title it reads “Hour-by-hour task sheet for transit days, check-ins, and connections.”, and the line at the foot of the page says “Keep a photo of this sheet on your phone before you leave the accommodation — it is your backup if the paper is lost.”.
The section headings slot holds three entries — “Departures & Check-Out”, “In Transit” and “Arrivals & Check-In” — so the sheet is already filled in for travel rather than left as blank rows to label yourself.
The section hints slot holds three entries — “Bags packed, keys returned, transport confirmed, booking refs noted.”, “Gate numbers, platform, connection times, meals, layover tasks.” and “Pick-up arranged, accommodation address, check-in time, key collection.” — so the sheet is already filled in for travel rather than left as blank rows to label yourself.
The tracker items slot holds eight entries — “Passport/ID”, “Boarding pass”, “Local cash”, “Adaptor/cable” and “Medication” and three more — so the sheet is already filled in for travel rather than left as blank rows to label yourself.
The remaining labels on the page are “Travel date” for the date label, “Before You Leave Today” for the tracker heading and “What went smoothly today, and what would you handle differently next time?” for the reflection prompt.
Two things about this particular three sections are settings rather than text, and “Travel Day Logistics Planner” has them set like this. Tracker strip is on: include the eight-item tick-off strip. Reflection lines is on: include the two-line reflection at the foot.
Tips
Write each task with its deadline time, not just the action — 'Return key by 11:00' is far clearer than 'Return key'.
Use the In Transit section to note local emergency numbers and the address of your next accommodation in the local script.
If you have a travel companion, each person prints one sheet and compares before leaving — doubles the chance of catching a missed item.
The other layouts in this set
“Travel Day Logistics Planner” is one of three sheets in this set, each a different fixed layout filled for the same topic. “Holiday Day Itinerary” uses the time-blocked day layout and “Layover Day Planner” uses the focus page layout. Pick by how you work: the layout decides how much you write and where, not what the sheet is about.
