What this sheet is for

This sheet is for recording what you spend as the trip unfolds, not estimating before you leave. Reach for it at the end of each travel day — on the hotel bed, at the hostel table, or during a long transfer — and fill in what you paid. By the last day you will have a clear record of exactly where your money went, category by category.

How to use it

Write your trip dates in the Trip dates field at the top right. In each of the six envelopes — Flights and Transfers, Accommodation, Food and Drink, Activities and Entry, Transport On-Trip, and Shopping and Souvenirs — write the maximum you are willing to spend in the Envelope limit line. As you travel, log each purchase in the Item / date and Amount columns. The remaining line at the foot of each envelope shows what is left. When the trip ends, add all six envelope limits and all six totals into the Trip Totals strip to see your overall over or under figure.

What is printed on the page

“Trip Spending by Category” is laid out as category envelopes: six boxed spending categories in a 2 × 3 grid, each with a budget line and six item / amount entry rows, and a totals strip at the foot. Under the title it reads “Track what you actually spend each day across six cost areas for one trip.”, and the line at the foot of the page says “Convert all foreign currency to one base currency before entering amounts, and note the rate you used.”.

The category labels slot holds six entries — “Flights & Transfers”, “Accommodation”, “Food & Drink”, “Activities & Entry”, “Transport On-Trip” and “Shopping & Souvenirs” — so the sheet is already filled in for travel rather than left as blank rows to label yourself.

The totals prompts slot holds three entries — “Total envelope limits”, “Total spent” and “Over / under” — so the sheet is already filled in for travel rather than left as blank rows to label yourself.

The remaining labels on the page are “Trip dates” for the period label, “Envelope limit” for the budget prompt and “Trip Totals — All Categories” for the totals heading.

Two things about this particular category envelopes are settings rather than text, and “Trip Spending by Category” has them set like this. Totals strip is on: include the totals strip at the foot. Remaining line is on: add a 'remaining' line at the foot of each envelope.

Tips

Fill in each envelope the same evening; receipts and memories both fade quickly by the next morning.

If you split a cost with a travel companion, enter only your share, not the full amount paid.

Pre-paid bookings count the day money left your account, not the day you use the service.
